General Summary of Position
Responsible for the day-to-day administration of the fellowship program (general cardiology, accredited interventional and the EP programs). All issues concerning physicians-in-training should be directed to the academic coordinator. This position functions as the first line of contact and will be the liaison between the program director(s) and the graduate medical education director as well as other departments, divisions, fellows, residents, students, and medical observers. In addition, the academic coordinator oversees and coordinates all administrative matters relating to division chief.


Primary Duties and Responsibilities

  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Oversees day-to-day operations of the program(s) to include evaluations/credentialing, recruitment for residents and medical students, program accreditation, information technology for tracking surveys and national reports and the development and maintenance of database, residents and medical students electives/rotation; and maintains professional development by attending and participating in GME/APDIM conferences.   • Develops and implements polices and procedures relating to the administrative function for support to division director, program director(s), fellows, residents, and students.
  • Updates and distributes monthly rotation schedules.
  • Coordinates and oversees events (such as lunches, retreats, orientations, interview agenda, and graduation banquets) for faculty, fellows, and residents.
  • Maintains database and/or paper files of current and alumni residents and fellows.
  • Key administrator of various educational and training requirements (exams, surveys, internet modules) for fellowship program(s).
  • Coordinates GME and division activities, conference attendance, and budget. Analyzes, reconciles, verifies and monitors incoming reports, i.e., Income and Expenditures, Accounting Distributions, Supply Usage, etc. Develops and maintains department reports for tracking.
  • Prepares annual program agreements with participating institutions for proper rotation approval.
  • Responsible for all of the division's subspecialty and sub-subspecialty accreditation and recruitment issues.
  • Supervises and coordinates fellow vacation, sick leave, and leave of absence documentation.
  • Updates and notifies fellows of job opportunity notices.
  • Maintains division/program director's calendar (schedule all appointments/meetings), collects and submits electronic time/attendance for physicians/, prepares payroll vouchers, submits check requests for prompt payment, prepares travel requests (flight, hotel, and reimbursements), promptly completes all medical transcription, schedules and enters charges for division director's out-patients, maintains confidentiality for all private division matters, promptly prepares and distributes letters, memos, contract signatures, and employment verifications. When necessary, works with the department of medicine personnel to cover the scheduling of moonlighters.
  • Notarize documents for visitors and staff as requested and maintain notary log.
  • Maintains current knowledge of technical and business developments and communicates relevant information.

    Minimum Qualifications
    Education

    • High School Diploma or GED required and
    • Associate's degree preferred

    Experience

    • 3-4 years of progressively more responsible job related experience required

    Licenses and Certifications

    • No special certification, registration or licensure required

    Knowledge, Skills, and Abilities

    • PROBLEM SOLVING: Job requires a moderate level of problem-solving. However, the problems are usually not very complex. Standard methods, guides, and procedures are generally available.
    • INTERNAL CONTACTS: Internal contacts necessary to effectively explain and interpret information for others inside the Hospital.
    • INDEPENDENTJUDGEMENT: Work generally has standard procedures and instructions but frequently requires deviation from established methods to achieve results.


    This position has a hiring range of $58,656 - $98,384
