General Summary of Position
Responsible for coordinating the management of accurate and timely recording and receipting of charitable gifts and pledges to MedStar Health, its hospitals and operating units. Helps to manage all facets of gift acceptance across all ten entity systems. Maintains data entry for the CRM solution. Provides administrative support.


Primary Duties and Responsibilities

  • Proactively identify areas in which process improvements can be made to ensure gift processing runs smoothly.
  • Assists the Philanthropy Business Operations Manager with adherence to, a system-wide gift acceptance policy including managing the gift processing for all ten entities in the MedStar Health system, as well as the receipting process and the acknowledgment process regarding tributes
  • Manages the gift entry process for all gifts including but not limited to, outright, pledge, recurring gifts, gift-in-kind, Business Philanthropy Program gifts, and grants.
  • Coordinates stock gifts and transfers in partnership with Philanthropy Business Operations Managers, with associated philanthropy officers to confirm when stock gifts have been keyed in the database and the donor has been provided the appropriate documentation.
  • Provides quality control to the daily gift processing routine, in part by running proof reports for each batch and double checking the accuracy of deposits, in accordance with MedStar Health Philanthropy Services policy.
  • Collaborates with philanthropy team across MedStar Health to ensure that acknowledgement letter templates and business rules governing gift acknowledgement letters are routinely updated and maintained to support the stewardship needs of the hospital and business unit philanthropy teams.
  • Organizes and maintains accurate and timely input of biographical, gift, and pledge data in fundraising software. Ensures integrity and confidentiality of information.
  • Prepares information for reports, mailing lists, etc. Prepares minutes when necessary.
  • Coordinates with philanthropy officers systemwide to provide accurate and clean data representation in the CRM including but not limited to managing bulk imports of referrals and actions, merging records, and adjusting gifts.
  • Responds to donor and company inquiries and requests while conveying a professional manner along with a willingness to help. Provides reliable, timely, and accurate responses to internal and external inquiries.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Participates in multi-disciplinary quality and service improvement teams.

    Education

    • Bachelor's degree required

    Experience

    • 1-2 years 2 years related experience. required

    Knowledge, Skills, and Abilities

    • Excellent verbal and written communication skills.
    • Excellent customer service, problem solving, and time management skills.
    • Proficiency with various computer software applications. (CRM solutions, Word, Excel, PowerPoint).


    This position has a hiring range of $30.67 - $54.48
