Under the direction of the manager, vice president, and applicable physicians, the Office Supervisor oversees the day‑to‑day operations of the medical practice. This role ensures smooth workflow, exceptional patient service, and adherence to established policies and procedures. The Office Supervisor will support clinical and administrative functions—including patient care coordination, front desk operations, scheduling, billing, referrals, authorizations, and general office management.

This position requires a caring, professional, and service‑oriented approach when interacting with patients, families, visitors, and co‑workers. Duties are performed in alignment with our mission, values, and Mercy Service Standards.

Qualifications

Education:

  • High school diploma or equivalent required; advanced education or relevant coursework preferred.

Experience:

  • Minimum of two years of experience in a healthcare setting and/or prior supervisory or leadership experience required.
  • Experience in medical office operations, patient coordination, or administrative healthcare roles strongly preferred.

Responsibilities include, but are not limited to:

Operational Leadership
  • Oversee daily operations of the medical office to ensure efficiency and alignment with practice goals.
  • Provide leadership, direction, and support to coworkers across clinical and administrative functions.
  • Monitor workflow and adjust assignments to meet patient care and operational needs.
Patient Experience & Communication
  • Ensure a welcoming, professional, and compassionate environment for patients and families.
  • Assist staff with patient concerns and take an active role in resolving issues promptly.
  • Support initiatives to improve patient satisfaction and office performance.
Administrative & Office Management
  • Coordinate front desk activities, scheduling, patient check‑in/check‑out, and medical record management.
  • Oversee referrals, prior authorizations, and billing-related processes to ensure accuracy and timeliness.
  • Manage supply ordering, inventory, and vendor coordination.
Regulatory & Compliance
  • Ensure staff and operations adhere to clinic policies, procedures, and regulatory standards.
  • Maintain updated knowledge of CPT and ICD‑10 coding practices as applicable.
  • Support quality care standards and compliance expectations throughout the practice.
Staff Support & Communication
  • Foster a positive, team‑focused work environment.
  • Assist with training new coworkers and supporting ongoing staff development.
  • Communicate operational updates, process changes, and expectations to the team.
