INTERNAL POSTING ONLY (Interim position)

SALARY: $17.39/Hr (NEGOTIABLE)



Shift Differential:
Monday-Thursday (6pm to 6am) - $1.00 per hour worked
Friday 4pm to Saturday 4am       - $3.00 per hour worked
Saturday (4am to 4pm)                - $2.00 per hour worked
Saturday (4pm to 4am)                - $3.00 per hour worked 
Sunday 4am to Monday 6am       - $2.00 per hour worked

POSITION SUMMARY:
Priority duty is key control system administration in compliance with gaming regulations and standard operating procedures. Position also focuses on data entry in multiple databases and programs, in addition to dispatching personnel for work requests and general administrative duties. Maintain confidentiality of all privileged information.

MINIMUM QUALIFICATIONS:

  • Must be eighteen (18) years of age or older.
  • High School Diploma, HSED Diploma or GED Certification is within one (1) year of employment. (Must be enrolled in a GED Program prior to the end of probationary period and provide documentation to the HRD Office for employee personnel file.) Applicants aged fifty (50) and older are exempt from this requirement. 
  • One (1) year of administrative experience; one (1) year working with spreadsheets and databases; an equivalent combination of education and experience may be considered.

DUTIES AND RESPONSIBILITIES:
  • Function as primary key control database administrator for the key control system of the gaming operation in compliance with and as required by tribal, state and federal regulations. Must strictly adhere to the standard operating procedures in accordance with audit and legal regulations regarding the key control system. Duties include entering requests for additions and deletions meeting established timelines, and monitoring system for accuracy as well as for system issues with reporting to proper entities to resolve.
  • Provide excellent customer service for all internal and external customers of the Facilities Department at all times and in all situations. Establish and maintain effective working relationships with all internal and external customers of Oneida Casino.
  • Develop, maintain, and facilitate effective relationships, communications processes and activities with all Gaming personnel and all other internal and external customers. Ensure established procedures, and processes are utilized at all times, to ensure maximum understanding and coordination are in place. Attend department meetings to ensure effective communications take place.
  • Inform supervisor of recommendations/ideas for improving all areas of this position to include ideas on improving customer service systems or activities.
  • Answer & screen telephone calls, take and relay accurate messages, greet visitors and direct to the appropriate office or personnel with courtesy and respect.
  • Create, and maintain various filing systems and records in an accurate, up-to-date order for both Maintenance and Custodial departments.
  • Operate personal computer, calculator, copy and fax machines and all other office equipment as needed/requested.
  • Monitor and enter data into the work order database, dispatch personnel to work requests and track progression of all work orders (including safety work orders) to assist in timely completion of jobs.
  • Enter data and run reports from departmental databases and information tracking systems (accounting systems, customer service issues tracking, spreadsheets, etc.).
  • Maintain a calendar for events, meetings, and trainings for Facilities office staff.
  • Perform secretarial tasks including accurately typing memos, reports, forms, notes and other documents as needed/requested for both Maintenance and Custodial.
  • Schedule and prepare meeting agendas, attend meetings, take/transcribe minutes, distribute to staff in a timely manner for both Maintenance and Custodial Departments if needed.
  • Conduct research to resolve operational questions or issues.
  • Attend and participate in training opportunities/seminars relevant to this position.
  • Assist with the development, evaluation, and review of Maintenance and Custodial processes and Standard Operating Procedures.
  • Maintain financial records, process accounts payable, purchasing and travel.

STANDARD QUALIFICATIONS:
  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic. Must have excellent reading comprehension skills.
  • Skill in operating various word-processing, spreadsheets, and database software programs (Word, Excel, and Access).
  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
  • Ability to represent the organization in a professional manner, building respect and confidence.
  • Ability to inform and communicate effectively verbally and in writing; process information effectively to identify and define problems and make objective decisions.

  • Ability and willingness to work a flexible schedule to include all shifts, weekends, holidays, and an on-call basis.
  • A valid driver's license or occupational driver's license, reliable transportation, and insurance are required. Must obtain a Wisconsin driver's license or occupational driver's license within thirty (30) days of employment if applicant has an out-of-state driver's license.  Must be authorized as eligible to operate a personal and Tribal vehicle under the Oneida Nation's Vehicle Driver Certification and Fleet Management Law prior to actual start date.  Must maintain driver's eligibility as a condition of employment.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
  • Frequently stand and/or walk a full eight (8) to ten (10) hour shift each day.
  • Continuously be able to climb stairs and heights due to the office being located on the 2nd floor of the Gaming Warehouse Building.
  • Occasionally bend/stoop, squat, lift, push/pull, and reach above shoulder level, carry up to twenty-five (25) pounds, and lift up to twenty (20) pounds. Repetitive movements of both hands.
  • Work is generally performed in an office setting with a moderate noise level. This position may be required to work a flexible schedule to include all shifts, weekends, holidays, and an on-call basis.
  • Work environment may NOT be smoke, noise, or dust free.
  • A Tuberculosis (TB) Screening and/or TB Skin Test is required within thirty (30) days of employment and annually thereafter.
