Summary:
Perform a variety of office support and/or secretarial duties for the Head Start department, such as composing and word processing a variety of standard documents and correspondence, relaying and resolving routine telephone and/or walk-up inquiries, scheduling calendar items and meetings, making travel arrangements, processing forms, performing data entry, and establishing and maintaining records. Maintain confidentiality of all privileged information.
Responsibilities:
* Answer incoming telephone calls; determine purpose of calls, and forward calls to appropriate personnel or department, ensuring professional telephone etiquette.
* Screen correspondence: exercise judgment and respond; accordingly, receive, sort, log, and route mail.
* Record and deliver messages or transfers calls to voice mail when appropriate.
* Welcome visitor and determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor.
* Maintain master calendar of events, meetings, and training for Head Start Program.
* Assist with coordinating and communicating transportation needs.
* Prepare monthly program newsletter.
* Coordinate time sheets, book orders, and other financial items as directed.
* Preserve personnel and student records as required.
* Receiving of supplies, materials, and orders and assisting in sending Accounts Payable documents for payment to Central Accounting Payables.
* Prepare correspondence, report, minutes, agendas, memos, forms, directories, resolutions, ordinances, and other documents and communications from drafts, recordings, or verbal instruction as requested.
* Create and revised presentations for professional staff as requested.
* Edit and review all correspondence and documents for correct grammar, punctuation, and spelling.
* Conducts research to resolve operational questions or issues as requested.
* Establish and maintain an effective filing and retrieval system
* Maintain and operate scanner, office machines, equipment and computers, Perform or coordinate general maintenance and repairs
* Maintain inventory of office supplies, classroom supplies, and general operational supplies
* Transmit outgoing faxes, and retrieve, logs, and distribute incoming faxes.
* Prepare program flyers and notices.
* Process work orders, follow-up and track them.
* Enter Child Plus Daily Attendance and upload and attach documents.
* Contact families regarding daily attendance issues.
* Contribute to a team effort and accomplish related results as required.
* Maintain program vehicle logs and submit monthly to fleet management; develop and maintain vehicle use schedule for staff as needed.

* Must obtain Food Handlers upon hire and annually thereafter.
* Civil Rights Training upon hire and annually thereafter.
* Shaken Baby Syndrome certification upon hire and annually thereafter.
* Complete Oneida Certification on Reporting Child Abuse and Neglect training upon hire and annually thereafter.
Nonessential:
* Must be CPR and Red Cross First Aide Certified or the ability to obtain within three (3) months of employment. Must maintain CPR and Red Cross First Aide Certification during employment.

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.
A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
Must provide a copy of diploma/degree, license, or certification upon employment.
