Description
This individual will serve to reduce overall IT costs and mitigate business and financial risk related to Paycom's ownership and use of IT Assets. They will strive to improve IT asset management processes, optimize IT's asset portfolio, and increase the agility of IT operations. They will collaborate closely with various Paycom departments on planning, budgeting, and other strategic decision-making processes.
RESPONSIBILITIES
- Follow Paycom IT procurement processes to engage vendors, negotiate contracts, make purchases, and receive software and/or hardware goods and professional services
- Collaborate closely with Paycom legal and accounting departments to review contracts and execute spend against budget(s) on any IT purchases
- Regularly utilize CMDB to track asset lifecycles and inventory of both hardware and software assets
- Regularly report and update business owners and stakeholders on the status of procurement requests and estimated delivery time frames
- Monitor software license usage and identify areas of under/over utilization to remediate substantial gaps or issues
- On board new Paycom vendors
- Ensure that license and maintenance renewals are completed within the predefined deadlines
- Regularly report on hardware and software inventories or create and maintain internal tools for customers to consume accurate and reliable IT asset information
- Utilize a skillset similar to an entry level IT systems administrator to add servers, software, network and storage devices to inventory systems utilizing protocols such as SNMP or similar
- Regularly identify cost avoidance opportunities and follow through to capitalize on those opportunities to realize a positive net return for Paycom
- Ensure Paycom stays compliant in regards to use rights or legal terms and conditions
- Create and update IT asset information in ITAM system
- Lead and manage software license reconciliation and re harvesting projects on a regular basis
- Produce reports to satisfy internal and external audit requests
Documentation and reporting responsibilities:
- Creation of Internal process documentation including diagrams
- Creation of purchase orders
- Creation of new vendors
- Creation of Effective License Position (ELP) reports
- Creation of Asset inventory reports
- Creation of Cost forecasting reports
- Creation of other IT asset related reports
Miscellaneous:
- Attend meetings and serve on committees, as requested
- Meet with executive level stakeholders as needed
- Perform additional duties and assignments as requested
Qualifications
Education/Certification:
- Bachelor's degree in Management Information Systems, Business Administration, Supply Chain Management, Computer Science or related discipline
Experience:
- 2+ years total combined IT experience
- 1+ years of relevant IT experience
- 1+ years of relevant analyst experience (inventory management, warehouse, supply chain, procurement, purchasing, accounting or similar)
PREFERRED QUALIFICATIONS
Education/Certification:
- IAITAM certification(s) such as CAMP, CSAM, CHAMP, CITAM
- Lean Six Sigma certification(s)
- PMI certification(s)
Skills/Abilities:
- Must have a basic understanding of legal principles and terminology
- Must have a basic understanding of accounting principles and terminology
- Must have a basic understanding of ITAM concepts and key process areas
- Can effectively negotiate vendor contracts on behalf of Paycom
- Must have a skillset, that is at minimum, equivalent to an entry level Desktop Administrator in regards to understanding concepts in that field (software installation/networking/security, etc.)
- Must have a skillset, that is at minimum, equivalent to an entry level Systems Administrator in regards to configuring and maintaining general business applications and the underlying operating system environment
- Must demonstrate strong math, analytical, and interpersonal skills required to successfully work in a team environment and communicate effectively across a variety of stakeholder groups.
- Excellent written and verbal communication skills
- Can easily adapt and learn new software systems and technology
- Must demonstrate a commitment to continuous learning and mentoring
- Can Interpret and apply laws, regulations, policies and procedures
- Must possess proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook, Visio)
- Can work flexible hours, including weekends and evenings
