Why We Have This Role
The Talent Acquisition team at Qualtrics is looking for a Part Time Recruiting Specialist (20 hrs/week in our Provo, Utah office) to own the logistics that keep interviews running smoothly. This is a great opportunity for someone interested in a future career in Recruiting/Talent Acquisition. Our global team of recruiting specialists ensure candidates, interviewers, and recruiters have a seamless, professional experience from first contact through final scheduling. You'll partner closely with recruiters and hiring teams to reduce friction in the hiring process so the company can hire the right people, faster.How You'll Find Success
- Expertly manage calendars and interview schedules across time zones and multiple stakeholders.
- Communicate clearly and promptly with candidates and interviewers to create an exceptional candidate experience.
- Solve last-minute scheduling conflicts calmly and creatively, maintaining continuity for candidates and hiring teams.
- Anticipate recruiter needs and align on priorities, processes, and escalation paths.
- Track and document scheduling activity and feedback to continually improve processes.
- Work with a bias for action — take on straightforward recruiting tasks (e.g., candidate follow-ups, requisition tracking) to help the team meet goals.
- Demonstrate transparency: own mistakes, ask for help when needed, and keep partners informed.
How You'll Grow
- Deepen your operational expertise in full-cycle recruiting logistics and global interview coordination.
- Build strong recruiter and hiring manager partnerships, evolving into a trusted scheduling partner and process advisor.

Things You'll Do
- Work 20 hrs/week from Qualtrics' headquarters in Provo, Utah.
- Ensure a world-class candidate experience: Maintain timely, professional communication from interview invitation through confirmation and follow-up so candidates feel respected and informed.
- Deliver flawless interview logistics: Coordinate end-to-end scheduling across interviewers, time zones, and interview formats (virtual, onsite, mixed) to minimize delays and gaps.
- Resolve scheduling blockers: Quickly manage reschedules, interviewer changes, and travel or technical complications with calm, solutions-oriented action that keeps hiring on track.
- Support recruiter priorities: Partner with recruiters to align on scheduling strategy, critical roles, and escalation rules to optimize time-to-hire.
- Improve processes and documentation: Track scheduling metrics, capture common failure points, and recommend improvements that increase team efficiency.
- Assist with recruiting tasks: Help with candidate outreach, status updates in the ATS, and basic sourcing or screening tasks when needed to reduce recruiter overhead.
