Description

The Facility Administrator is responsible for providing administrative assistance to the Facility Management Team. The primary duties will include administrative support of day-to-day operations in our Axxerion Management platform, vendor training, data base maintenance, dispatch team support and site/project research. The administrator will also provide data entry and tracking support to Project Managers and Environmental Group team members.  The administrator is required to be detailed oriented with strong multi-tasking skills and capable of consistently meeting department deliverables.

ESSENTIAL JOB FUNCTIONS:

  • Provide consistent, timely Axxerion Management platform support to our corporate users and vendor network. Including troubleshooting/resetting work orders and invoice issues with vendors as needed.
  • Provide Axxerion Vendor and Employee training as needed to ensure comprehensive interaction.
  • Support Dispatch team and assist with service call tracking to ensure repairs are completed timely.
  • Provide/Maintain automated Customized reporting for District/Division/Director level users.
  • Perform site/project review and provide detailed report on findings.
  • Provide administrative support as needed to Facility Management Group team.
  • Assist with Repair & Maintenance/Capital expense analytical review and tracking.
  • Maintain Data within various Facilities software systems to keep information up to date. (Axxerion, Titan Cloud, CERS).
  • Monthly Statement Reconciliation for Major Project vendor accounts to ensure timely payment/project completion data.
  • Create assets related to major purchases ensuring Warranty data and installation information are recorded.
  • Maintain Monthly/Quarterly/Annual Schedulers related to Station Maintenance.

 

JOB QUALIFICATIONS:

 

  • Minimum of 2 years' experience with multi-site facility administration, preferably in the petroleum industry.
  • Demonstrated success with administrative duties related to a wide variety of maintenance/construction services.
  • Ability to communicate with vendor/contractor representatives to achieve resolution via Phone and email.
  • Demonstrated success at maintaining detailed, accurate, and complete documentation for large quantity of locations.
  • Proven ability to successfully deliver assigned projects within established budget and schedule.
  • Excellent oral and written communications skills.
  • Proven analytical and conceptual skills.
  • Excellent computer and software skills (Microsoft Office, Outlook, Excel, Power Point, etc.).
  • Solid organizational skills/multi-tasking and ability to prioritize tasks and be a self-starter.
