Now hiring for day shift supervisor for Mail/Distribution Services team (Monday - Friday 8am - 5pm CT)

Get To Know The Team:

Our Mail Service team receives, opens, sorts, batches, and scans work, ensuring timely and accurate processing.  They will determine and code transaction types while preparing and processing each transaction in compliance with internal and external quality, productivity, contract compliance and regulatory standards.  In this position, associates may document and maintain volume and processing records.  Knowledge of various mail service technologies is preferred. This position uses custom requirements and processes work in a multi-client environment to track and utilize client-specific inventory.

What You Will Get To Do:

  • Manages assigned personnel. Plans, allocates, and monitors work, and makes decisions regarding employment, performance reviews, training and development.

  • Coordinates and monitors daily mail and scanning workflow to ensure all functions are performed on an efficient, timely basis and meet quality, productivity, SLA and audit standards; reviews and prepares quality and productivity reports for management.

  • Interfaces with internal and external client(s) to respond to questions regarding shareholder account issues, post office boxes, research, and scanning. Escalates mail or scanning exceptions with significant financial ramifications to senior management.

  • Communicates with various departments to address shareholder and client inquiries.

  • Reviews operating procedures and policies, identifies issues and makes improvement recommendations to senior management.

  • Oversees the utilization of all SCL, Pitney Bowes Metering, WorldShip, OPEX and IBML mail services / scanning applications and equipment, as directed by management. Monitors individual usage and providing feedback to associates, as well as vendors.

  • Manages and participates in a variety of special projects, new product testing and implementation.

  • Coordinates conversions, de-conversions, and start up clients, as directed by senior management

What You Will Bring:

  • Bachelor's degree or equivalent combination of formal education and work experience preferred.

  • 3 - 4 years transfer agency or related Front End experience, including 1 - 2 years senior specialist experience preferred.

  • Knowledge of mail sorting procedures, archival processes, and general office and administrative procedures preferred.

  • Knowledge of mutual fund processing, cash processing and transaction sorting practices preferred.

  • Knowledge of AWD/DST, Image workflow, Front-End, Back-End, and High-Speed scanning equipment preferred.

  • Ability to communicate clearly and effectively, both verbally and in writing.

  • Ability to handle a variety of tasks and changing responsibilities, display leadership, control and planning skills, and influence others.

  • Demonstrated leadership and coaching skills.

  • Analytical, problem solving and follow through skills.

  • Experience working within a fast-paced, deadline-driven production environment.
