Objectives of this role:

  • Ensure general office coordination of office with effective communications and planning
  • Contribute to company goals while maintaining our company values, positive employee experience

  Responsibilities:
  • Coordinate office activities and operations while providing clerical, administrative, and production support to management, such as:
    1. Source candidate or client leads as requested
    2. Review and approve field employee time cards
    3. Package and prepare deliveries of marketing items for company events
    4. Sort and distribute incoming mail
    5. Greet office visitors, answer and direct phone calls
    6. Generate/ distribute memos, letters, spreadsheets, forms
    7. Maintain and update assigned reports, documents, and files
 
  • Manage general office administration tasks such as:
    1. Order office supplies and track inventory for upcoming or changing needs
    2. Issue and maintain building access cards and keys to office
    3. Arrange office repairs or services with building management
    4. Serve as primary liaison between company staff and building managers, providing information, answering questions, and responding to requests
 
  • Manage general meeting and event activities including:
    1. Schedule and track company meeting and appointments
    2. Reserve conference rooms for both on-site or off-site events
    3. Manage various food orders and event reservations
    4. Book travel arrangements and logistics for incoming guests as needed
  Qualifications:
  • Adaptability and flexibility to support any unexpected changes, providing a seamless employee or guest experience within the office environment as well as any company meetings or events
  • Detail-oriented, strategic thinking & independent problem solving
  • Thorough planning and implementation skills
  • Excellent written and verbal communication
  • Enthusiastic attitude and a supportive collaborator
  • Exceptional time management and multi-tasking/ prioritization
  • Proficiency with Microsoft Office applications and aptitude for learning new software and systems
  • Ability to maintain confidentiality of company information
  • Bachelor's or associate's degree preferred

  This position is full-time, hourly, benefits, etc. - Hybrid- Remote and In Office - 2 days per week.
