The Administrative Associate is responsible for answering incoming calls on the main office telephone number; greeting all visitors; distributing incoming mail and assisting the leadership team with organization of social functions for clients, guest, and team members. It is also his or her responsibility to assist leadership in the implementation and administration of policies, procedures and programs in a day-to-day basis that will assure that the projects are well managed.


It is the responsibility of the Administrative Associate not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but to focus on productivity and results.

ESSENTIAL JOB FUNCTIONS:

  • Provide an extraordinary and welcoming experience for guests and team members while following all building security procedures.

  • Greet customers with a smile and maintain a tidy work area.

  • Perform general administrative support as necessary, i.e. office supplies, clerical, incoming and outgoing mail, document editing.

  • Assist with scheduling and preparing meeting and conference rooms. Coordinate setup of conference/meetings rooms including, food orders, IT support and package deliveries.

  • Answer the main line phone promptly and professionally, and transfer calls to appropriate team members.

  • Monitor current project information to be able to direct incoming calls properly.

  • Answer questions and solve problems by utilizing a variety of resources to provide accurate information.

  • Support multiple service lines proficiently while maintaining expertise.

  • Schedule and organize complex activities, such as meetings and travel.

  • Understand and adhere to all safety and security protocols.

  • Complete reports in an accurate and timely manner.

  • Participate in the Building Emergency Action Team. Perform the roles of a Floor Warden (Searcher, Stairway Monitor, etc.) when required.

  • Relieve team members for breaks and/or lunches as assigned.

  • Assist with special projects as requested.

  • Act as a liaison with other departments and outside agencies.

  • Manage the executive calendar/schedule.

  • Initiate and respond to executive correspondence and handle confidential information.

  • Prepare expense reports; this includes obtaining receipts as needed and reconciling and expensing all credit card charges.

  • Compose and type appropriate correspondence and memos.

  • Assists Transwestern executives with other projects, when requested.

POSITION REQUIREMENTS:

  • A high school diploma or GED equivalent (college courses preferred).

  • At least 0-2 years of clerical, administrative duties (real estate experience is a plus).

  • Must have intermediate to advanced MS 365 Word, Excel and Outlook proficiencies.

  • Adobe InDesign experience preferred.

  • High level of professionalism and the ability to interact well with others.

  • Provide professional, timely, courteous and accurate service.

  • Highly adaptable and flexible.

  • Ability to keep information strictly confidential.

  • Excellent spelling and grammar, good phone skills, organized, able to set priorities and meet deadlines, able to multitask; carefully proofs own work.

  • Strong desire to succeed in an entrepreneurial environment.

  • Must be able to handle multiple projects, changing priorities and a continually heavy workload.

  • Exceptional oral and written communication skills.

  • Strong customer service orientation.
