Full Hourly Range: The full hourly range for this position is $24.76 - $35.46/hr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full hourly range for this position is $24.76 - $35.46/hr. The budgeted hourly range that the University reasonably expects to pay for this position is $24.76 - $29.42/hr.

Work Location: Davidson Library - 1302A

Working Days and Hours: Monday-Friday, 8am - 5pm

Required Qualifications

  • High School Diploma or GED.
  • Experience with Google Suite.
  • 1-3 years library experience and/or education and work experience.

Preferred Qualifications

  • Knowledge of library systems.
  • Associate's Degree or higher.
  • Experience with Interlibrary Loans.

Job Functions and Percentages of Time:

50% - Requests, Processing, Maintenance, & Correspondence:In the ILL management system, discovers and prints out new ILL requests submitted by UCSB faculty, staff, and students that fail automated submission or to be supplied by potential lenders; processes all Idle, Not Supplied, and Manual ILL requests; searches and verifies requests in appropriate bibliographic databases such as UC Library Search, OCLC Firstsearch, WorldCat, and various international databases; interprets complex entries and citations using knowledge of cataloging entry standards and practices; finds best bibliographic match in databases and, using knowledge of lender preferences and lending policies, constructs lender queue and submits requests via the ILL management system or the SILS. Sorts requests submitted by UCSB undergraduates; checks against UCSB course reserve holdings and cancels requests submitted for material contained in these holdings; using independent judgment cancels requests for textbooks available at the UCSB Bookstore and not available via ILL; notifies patrons of all these activities. Using independent judgment and knowledge of accessibility or availability, cancels requests for material that is difficult to obtain due to recent publication, high demand, age or rarity; discovers alternate editions that may be more easily obtained. Communicates with patrons to assess if alternate material will work for their research purposes and submit or cancel requests accordingly per patron instructions. Using independent judgment, investigates difficult or complex requests by searching additional sources and databases to discover potential suppliers or online resources; this includes in-depth interpretation of OCLC bibliographic records, investigation of international institution and union catalogs, searching non-English language catalogs, finding contact information and submitting ad hoc requests and inquiries to non-traditional ILL lenders both national and international; identifies potential and reasonable resources for purchasing as an alternate opportunity for fulfillment and communicates with patron accordingly. Corresponds effectively with UCSB patrons and lending institutions concerning the acceptability of lender conditions, or to clarify needs or citation information. Monitors the ILL management system and shared ILL email accounts for incoming conditional or special messages from patrons and lending institutions. Amends request citations or creates new requests in the ILL management system or the SILS in response to these communications.

25% - Returns Workflow Management: Processes all returned ILL items, including: sorting between materials borrowed from outside the UC system and materials borrowed from within the UC system. Prepares items for shipment back to lending institutions by updating the ILL management system accordingly, filling out the appropriate shipping form, padding fragile or rare items with bubble wrap, and bringing items to the Shipping and Receiving Room for further processing. Packs items to be returned/lent to the Cal States via the UC-shared courier service. Evaluates each returned item for damages or missing parts. Communicates with patrons concerning damages and potential fines, missing pieces, and missing blue ILL strap.

10% - Renewal, Overdues, & Recalls Management: Processes ILL renewal requests submitted by UCSB Library patrons; submits renewal requests to lending institutions via ILL management system; monitors renewal responses from lending institutions and adjusts due dates in both the ILL management system and the SILS as necessary; monitors overdue and recalled material and communicates accordingly with UCSB patrons and lending institutions as needed.

10% - Departmental & Patron Assistance: As needed, assists the ILL Lending Assistant, directing student assistants in support of these activities; as needed, assists Services Desk staff concerning ILL circulation transactions. Responds to and resolves patron inquiries submitted via telephone, email, or in person visits. Assists and instructs patrons on submitting new ILL requests or renewals of received materials. Monitors the Interlibrary Loan unit shared email inboxes and regularly receives articles received electronically (through email, the ILL management system, OCLC WorldShare, etc.).

5% - Miscellaneous: Actively seeks professional development opportunities to keep up to date with current practices in ILL. Maintains and updates ILL process and procedure documentation as assigned. Serves on Library Committees as assigned and contributes to Library projects and initiatives as needed. Completes other duties as assigned, including assisting other units in Access Services as needed.
