Job Summary

Under primary supervision of the Department of Biomedical Engineering Graduate Student Services Adviser, and dotted-line reporting to the Director of Advising and Policy in the Engineering Undergraduate Office regarding matters relating to Academic Advising, independently responsible for managing the undergraduate student support services, and in collaboration with the faculty, implementing the department's undergraduate program, including assessment processes in compliance with ABET and other accreditation criteria in the College of Engineering (COE). Provide comprehensive and complex academic advising services to undergraduate students including advising program development, planning and implementation. Actively participate on faculty governance committees and recommend program improvements as needed. Provide specialized expertise in academic and student affairs issues pertinent to undergraduate students and to the development of college and department undergraduate education policies and practices. Serve as lead undergraduate academic advisor and department expert on academic advising. Collaborate with the department student services team to ensure all program goals, objectives and needs are met. Provide development and implementation of outreach, recruitment, admission, and retention efforts for undergraduate students. Represent the department on undergraduate matters with substantial delegated authority.

Minimum Qualifications

  • Bachelor's degree; or an equivalent combination of education and/or experience.
  • Experience in holistic advising and counseling approaches and experience with academic policies, procedures, and requirements in a higher education setting; recommending solutions to progression and requirement issues; ability to make proper referrals to other campus resources.
  • Experience to make decisions independently, manage details of complex projects and processes aligned with strategic priorities from start to finish with minimal direction, and to adapt to constantly shifting priorities and outcomes.
  • Experience and ability to work autonomously and have good judgement to make independent decisions.
  • Strong professional, interpersonal skills to work with and gain trust from department and college leadership, faculty, students, and other constituents from diverse backgrounds.
  • Proven ability in problem identification, reasoning, analysis to identify trends; ability to find solutions to conflicting situations.
  • Effective communication skills, both orally and in writing; ability to interact with individuals of varying ages and cultural backgrounds and perspectives.

Preferred Qualifications

  • Experience in curriculum planning processes and best practices; knowledge of undergraduate and graduate courses and degree requirements.
  • Experience using common university-specific computer application and student information systems (e.g., OASIS, Banner, DESII, ICMS).
  • Experience with university, college, major, and general education policy requirements and their application to specific programs of major.
  • Skill to identify and determine appropriate level of advising or referral services for individual students, providing immediate crisis counseling, and referrals to students in academic, financial or personal difficulty.
  • Knowledge of accreditation processes to develop and implement ongoing assessment plan.
  • Knowledge of department goals, faculty research interests, options/specializations offered in the BME undergraduate program as it relates to students pursuing undergraduate and graduate study demonstrated through completion of higher education or equivalent experience.
  • Knowledge of UC policies regarding Privacy of Information.
  • Investigative skills to elicit information using tact and diplomacy, recognizing potentially controversial or sensitive issues.
  • Organizational and administrative skills to develop and implement new programs and/or material to better meet the undergraduate advising needs of the Department.
  • Ability to obtain knowledge of degree requirements and mandatory advising system to prepare official major certifications, assist students with their academic plans and guide/track students through academic planning.
  • Skills in judgment and decision-making, identifying measures of system performance and the actions to improve performance.

Department Overview

The position is critical in providing guidance and support on decision-making to faculty in all areas of undergraduate affairs. Serves as the cornerstone in the undergraduate program; holding primary responsibility and accountability for all undergraduate programs within BME, including informal tracks in which students can specialize in different areas within BME, as well as the BME minor. Work is performed autonomously with direct reporting to the Student Services Supervisor and there is a dotted line relationship to the Director of Undergraduate Affairs in the Engineering Undergraduate Office. This relationship will allow the director to implement and assess academic advising best practices for students in the college to align practices with the academic advising profession nationally and internationally. The director will provide input during the annual EPAR process. The BME undergraduate program has approximately 450 students with 5 specializations, 35 faculty and ABET accreditation.
