Description
The Sr. Director of Finance & Administration serves as an extension of the Dean in accomplishing the initiatives and responsibilities of the School. Provides leadership and coordination for the administrative functions of all areas and programs as the Dean's Chief of Staff.
Oversees the day-to-day operations of the Dean's Office, including prioritizing office tasks and events. Works with the Dean to manage and monitor fiscal operations across the School. Collaborates with the Dean, department heads, program directors, and center directors on faculty and staff personnel actions, as well as the training and retention of staff.

Bachelor's degree with ten years of work experience in related field.

- Master's degree in business, administration, or a related field.
- 10+ years of related and progressive experience as an upper-level administrator in an academic setting at a top-tier research university.
- Experience in managing, coordinating, and resolving faculty and staff administrative matters, including the promotion and tenure process; familiarity with course catalogs and schedules, financial and grant management, facilities management, and other employee-related matters.
- 5+ years of supervisory experience of staff and/or faculty.
- At least 3 years of PeopleSoft experience and/or experience with similar financial management software used in higher education.
Essential Duties and Responsibilities
Essential Duties and Responsibilities
- Provides management and leadership to the Dean's Office staff and oversees all staff positions within BBS to ensure compliance with school and University policies and practices in support of the School's mission.
- Works closely with the Dean in preparing the annual budget, forecasts, projections, data analysis, and operational and strategic planning, as well as approaches to mitigate financial risks. Synthesizes and analyzes financial information and trends, and develops and maintains a multi-year financial planning model for the School.
- Monitors school-wide budgets and analyzes budget variances to ensure compliance with regulations, policies, and reporting requirements. Tracks financial performance and account reconciliation for the School, preparing regular reports for internal use and, as appropriate, for external audiences.
- Serves as the primary liaison with campus business offices for all administrative matters.
- Advises and assists all areas and programs with matters pertaining to policies and procedures. Ensures completion of faculty and staff appointments, evaluations, reclassifications, and other organizational changes. Has responsibility for and oversight of daily staff human resources functions pertaining to the areas, programs, and centers within BBS.
- Oversees and coordinates the use of facilities and equipment to ensure facilities are well-maintained and that problems are addressed in a timely manner.
- Oversees and coordinates space inventory for the School, assists in the assignment of faculty and staff offices, and purchases and reassigns furnishings for those offices.
- Works with department heads to address staff performance and issues of employee relations. Ensures staff are trained and kept up-to-date on policies and procedures impacting areas/departments and their administration.
- Represents the Dean and BBS to the rest of the University and community at large as requested. Acts as a liaison with faculty, committees, members, donors, and/or other offices on and off campus. Serves on committees as requested.
- Fosters a culture of professionalism across all staff within the School.
- Oversees all transactions involving faculty personnel actions and files, including databases, logs, and general files, processing and/or supervising all correspondence and departmental forms.
- Develops Memorandums of Understanding in support of Dean and School-wide commitments.
- Provides guidance to the Dean, Associate Deans, and department heads in general procedures and policy matters. Develops and updates procedures for the School in collaboration with administrative area heads, while instructing and monitoring departmental staff and faculty on compliance.
- Supervises and trains the School's administrative support staff to ensure compliance with University and School procedures and policies. Serves as an advisor on administrative issues related to different areas, programs, and centers. This includes mentoring and developing networking within this coordinator group to provide for an exchange of ideas, skills, and peer development.

- Signature authority up to budget limit on all funds within/under the Dean of BBS.
- Excellent organizational skills and ability to prioritize tasks in a multifaceted and fast-paced environment.
- Significant experience with budget planning, monitoring, management, and projects.
- Strong working knowledge of faculty and staff budgets.
- Familiarity with financial and research management in a top-tier research university setting.
- Ability to exercise diplomacy, confidentiality, and discretion in all facets of the job.
- Must be self-motivated, able to work independently and as a member of a team, make accurate and timely decisions, and appropriately delegate duties to subordinates/peers as workload requires.
- Excellent verbal skills, including facility and comfort in written communication and documentation; demonstrated expertise in drafting various types of business correspondence and other administrative documents, including business plans and pro formas.
- Excellent interpersonal skills with the ability to work collaboratively and cooperate with others at all levels.
- Proficient in computer use, including word processing, database design and management, spreadsheet design and analysis, with proven expertise in Microsoft Office programs.
Additional Information
Remote Work:
After the appropriate training period, this position may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area for prompt arrival on campus with a 24-hour notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
