Summary:

Perform a variety of administrative and staff support duties for the Child Support Agency some of which require advanced or specialized knowledge and skills, such as equipment, facilities, and inventory management, specialized recordkeeping and database management, and/or specified information-gathering projects. Resolve administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative and legal documents. 


Detailed responsibilities:
* Screen incoming telephone calls and correspondence; exercise judgement and responds accordingly; receives, sorts, logs, and routes mail
* Screen incoming calls and correspondence by exercising judgment and respond accordingly.
* Assist the Financial Specialist with account maintenance.
* Scans and indexes all documents into filing database
* Prepare correspondence, reports, minutes, agendas, memos, forms, directories, resolutions, ordinances, and other documents and communications from drafts, recordings, or verbal instruction as requested. a.) Enter work orders into property management system. b.) Establish and maintain an effective filing and retrieval system. c.) Conduct research to resolve operational questions or issues as requested.
* Edit and review all correspondence and documents for correct grammar, punctuation, and spelling.
* Accesses mainframe or State of Wisconsin KIDS system to conduct queries and answer general case information questions.
* Coordinate Service of Process and Legal Publications needed
* Enters program specific information into Access/Excel or KIDS, tracking changes, keeping statistical data.
* Practice excellent customer service skills at all times to include, but not limited to addressing customer and employee needs courteously and promptly (Customer service provided shall be in line with the organizations "Good Mind" core values)
* Conduct research to resolve operational questions or issues; make recommendations to enhance the efficiency of administrative operations within Sports Betting.
* Provides support to the front desk and back up assistance to the Financial Specialist as needed.
* Maintain and operate scanner, office machines, equipment and computers, Perform or coordinate general maintenance and repairs
* Maintain inventory of office supplies and equipment

Competencies and skills:
Essential:
* Operating various word-processing, spreadsheets, and database software programs in a Windows environment
* Obtain additional education and training
* Business English, proper spelling, grammar, punctuation, and basic math
* Work independently with minimal supervision
* Knowledge of the Oneida community, history, and culture and government
* Ability to communicate effectively in the English language, both verbally and in writing
* Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and co-workers at all levels

* Ability to handle multiple tasks and meet deadlines
* Ability to represent the organization in a professional manner, building respect and confidence
* Knowledge of records management and basic accounting procedures including budgeting

Education Requirement - Or A Closely Related Field:

Education with Equivalent Qualifications:
Essential:
* General Ed, High School Equivalency Diploma, HS Diploma
* Applicants age 50 and older are exempt from this requirement
Nonessential:
* Associates Degree in Administrative Assistant

* Driver Safety Training
* Child Abuse Reporting Policy (CARP)

Credential equivalent experience:

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.

A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.

Must provide a copy of diploma/degree, license, or certification upon employment.
